This workflow fits teams that can identify a concrete first useful action in their product. The example is fictional and describes a setup to validate with your own accounts and data.
Prepare the information
Define the first useful action: sending an invoice, publishing a booking page, or completing another specific task. Provide the latest known state for each user. If activity is supplied as a list, include when it was exported so the agent does not treat stale data as current.
Add approved help articles, plan information, contact preferences, and an owner for support questions. Account credentials belong in the connection flow, never in a chat brief or a lead CSV.

These trial users saved an invoice draft but have not sent one as of this morning's export. Ask whether anything is holding them up. Use our help guide for deposits and payment terms. If the question is not covered, send it to support. Do not invent a feature or offer a discount.

If Ava has already sent it, update the record. If she asks a question, address that before introducing a paid plan. Stop a planned activation reminder when its premise is no longer true.
Check the setup before scaling
Verify how new activity reaches the campaign and how replies, upgrades, and opt-outs pause further messages. A one-time import is not a live product-event integration. Review timing and scheduled actions explicitly before relying on automatic check-ins.
A useful outcome is a recorded obstacle, an accurate answer or support handoff, and the next step. Paid conversion is something to measure, not something a follow-up can promise.
